The Role

We’re looking for a versatile Finance Assistant to join our growing team and help deliver smooth, timely, and accurate day-to-day finance operations.

You’ll play a key role in supporting payment runs, invoicing, reconciliations, bookkeeping and financial admin across our international business. You’ll work closely with the Finance Manager and support across both internal and client-facing finance processes. This is a great opportunity for an ambitious individual with a keen eye for detail, a love of organisation, and a desire to learn and grow within a fast-paced and global finance team.

Responsibilities

While no two days are the same, your main responsibilities will include:

Accounts Payable

  • Own the weekly and bi-daily payment runs to ensure that our vendors, consultants and relocators are paid accurately and timely
  • Monitor and process urgent payment requests, collaborating closely with our Operations team
  • Support the bookkeeping process as it relates to outgoing payments, focusing on correct coding and indirect tax treatments
  • Maintain supplier records and complete relevant monthly payment reconciliations as appropriate
  • Ensure that all accounts payable documentation is organised, structured and “audit ready”

Invoicing & Accounts Receivable

  • Prepare and send client invoices on weekly basis, ensuring that client specific data is accurately included as required
  • Assist the Finance Manager with client invoicing reporting and the coordination of finance-related client communications
  • Proactively apply client remittances in Xero, ensuring that cash is correctly allocated to the correct invoices
  • Prepare accounts receivable ageing reports, flagging and escalating overdue accounts

Other Core Responsibilities

  • Prepare monthly cash reporting dashboard (template based), highlighting key movements
  • Support reconciliations of key accounts such as prepaid cards, relocator allowances and other accounts
  • Assist in the research, design and implementation of new processes and technologies across the finance function as we continue to evolve and scale
  • Be a point of contact for internal teams needing finance support on payments and invoicing
  • Tackle clean-up tasks and backlog items, working with the Finance Manager as appropriate

Requirements

The type of person we think will be awesome at this will likely have the following range of qualities and experience:

Relevant Experience

  • 3-4+ years of relevant finance experience (e.g. finance support, AP/AR processes, bookkeeping role), ideally in fast-paced or scaling environments
  • Familiarity with account software (Xero preferred) and confidence using Excel / Google Sheets
  • Solid understanding of basic accounting principles and general ledger coding
  • Hands on experience with high transactional volumes, across multiple currencies and geographies

Core Competencies

  • Excellent attention to detail with strong analytical and problem-solving skills
  • Clear verbal and written communicator – clear, concise and professional
  • Highly organised and able to manage multiple priorities in a dynamic environment
  • Autonomous self starter with a drive to set and deliver against priority driven deadlines
  • Enthusiasm for learning and improving within a fast paced startup environment

Additional Requirements

  • Based in European time zones to enable flexible collaboration across multiple regions
  • Prior experience in a fast paced tech enabled service-based business is highly beneficial
  • Trustworthy and professional, with sound judgment and respect for sensitive information

Salary

Total compensation packages are based on a wide array of factors unique to each candidate, including but not limited to demonstrated skill set, years and depth of relevant experience, location and some role-dependent factors. We’ll be happy to discuss this during the interview process.
