We are seeking a highly organized, proactive, and operationally minded Executive Operations & Administrative Manager to support our CEO and COO. This role goes far beyond traditional admin support — we’re looking for someone who thrives on improving processes, experimenting with automation, and driving operational excellence across the leadership team.
The ideal candidate will not only manage executive priorities and streamline workflows but also help keep our company knowledge well-structured, organize team events, foster culture, and contribute to light HR/recruiting support.
Responsibilities
Executive Support & Operations
- Manage complex calendars, travel, and communications for both the CEO and COO.
- Prioritize and triage executive inboxes, leveraging automation where possible.
- Prepare agendas, take notes, and track follow-ups for leadership and board meetings.
- Maintain and organize the internal company documentation, ensuring information is accessible and up to date.
- Support company-wide planning (offsites, business reviews all-hands, team-building activities).
- Assist with special projects, reporting, and operational initiatives.
Automation & Process Improvement
- Identify opportunities to automate recurring workflows (e.g., inbox → task system integrations, notification triggers, scheduling automations).
- Implement and manage tools to optimize executive and team productivity.
- Proactively streamline processes to save leadership time and reduce manual work.
HR & People Support
- Assist with recruiting coordination, candidate communications, and interview scheduling.
- Support onboarding of new hires, ensuring a smooth and consistent experience.
- Partner with HR/COO to develop plans to strengthen company culture and employee engagement.
Qualifications
- 5+ years in executive administration, operations, or similar roles.
- Strong proficiency with Google Workspace, Slack, and modern productivity tools.
- Comfortable with no-code/low-code automation platforms (Zapier, Make, Airtable, Linear, etc.).
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills; comfortable representing executives.
- Ability to manage sensitive information with discretion.
- Proven experience juggling multiple priorities in a fast-paced environment.
